Identify the sample and measurement method
Begin the review with the style code, sample version and size. Record the fabric used and note any difference from the material intended for production. Keep the garment photographs and measurement sheet with that version so comments cannot be confused with a different sample.
Use agreed measurement points and units. Explain how each measurement is taken, including the condition of any fastening or elasticated area. Keep body measurements distinct from garment measurements, and identify the fit basis used for the review. These details make a later comparison more useful.
Describe the result and the requested change
Group comments by garment area, such as neckline, shoulder, body, sleeve, waist, rise or length. Explain what you observe and what needs to change. A marked photograph can locate the issue, while a measurement or construction note can define the adjustment.
Distinguish a pattern adjustment from a change to fabric, trim or sewing. Increasing room, changing the garment balance and altering a seam finish are different instructions. Where one change affects another area, keep the comments connected so the sample can be reviewed as a complete garment.

Resolve conflicting comments before the next sample
Collect feedback from the relevant team members in one current document. Remove instructions that have been superseded and identify decisions that still need agreement. Give each change a clear location and retain the information needed to understand why it is requested.
Mark the details that are approved and should remain unchanged. If a new fabric, trim or artwork file is introduced, label it clearly and state which earlier file it replaces. This prevents an approved fit decision from being lost while an unrelated detail is being updated.
Close the review with a clear next step
Summarise the changes to be made, the points already approved and the information still required. Agree what needs to be reviewed in the next sample and whether any material or construction decision must be settled first. Keep the instructions with the sample record.
When the garment is ready for production approval, connect the final comments with the measurement information, fabric details and branding requirements. The approval should identify the specific version being accepted. Quantities, packing requirements and timing should then be checked against the same specification.
Bring your sample comments and measurement notes to YA QIAN to discuss the next stage of garment development.
